Depending on how you use our services, we may collect:

• Contact details you give us — name, email address, phone number and the property you are enquiring about.
• Enquiry and valuation details you submit through our forms, including notes about your property or your search.
• Identity and referencing information where you progress to a tenancy or instruct us to let or manage a property.
• Basic technical data such as IP address and browser type, collected by our hosting provider for security and performance.

We use your information to respond to enquiries, arrange viewings, prepare rental appraisals, progress lettings and manage properties on behalf of landlords.

We also use it to meet our legal and regulatory obligations as a lettings agent in Wales, including client money protection, redress scheme and licensing requirements.

We rely on your consent when you submit a form, on the performance of a contract when we act for you as a landlord or contract-holder, on our legitimate interests in running the agency, and on legal obligation where regulation requires us to keep records.

We only share information where it is necessary — for example with landlords or contract-holders in a transaction, referencing and deposit protection providers, contractors carrying out works, and our professional advisers. We never sell your data.

Enquiry data is kept for up to two years. Tenancy, management and financial records are kept for the periods required by law and our regulatory memberships, normally six years after the relationship ends.

You have the right to access, correct, erase or restrict the use of your personal data, to object to processing, and to data portability. To exercise any of these, email us and we will respond within one month.
